Privacy Policy

This page explains which personal data we process when you visit hellenismwatch.org, request the book, apply to become a Fellow or write to us. The EU General Data Protection Regulation (EU) 2016/679 (GDPR) applies.

1. Controller

Hellenism Watch is a personal, non-profit initiative in the process of being established as a non-profit civil company (AMKE) in Greece. Until then, the private individual named above is the controller. We are not required to appoint a Data Protection Officer.

2. Visiting the website

The website is hosted on Cloudflare Pages, a service of Cloudflare, Inc. (101 Townsend St, San Francisco, CA 94107, USA). When you open a page, Cloudflare's servers process technical data that your browser sends automatically:

• your IP address,
• the date and time of access,
• the page or file requested,
• your browser and operating system.

Purpose: to deliver the website and protect it against attacks and misuse. Legal basis: legitimate interest (Art. 6(1)(f) GDPR) in operating the website securely and reliably. Retention: only as long as needed for security and technical operation. We do not use this data to identify you or build profiles.

Cookies: this website uses no cookies and no advertising tools. Fonts are served from our own server, without connecting to third-party services.

Visitor statistics: to know how many people visit our pages and how fast they load, we use Cloudflare Web Analytics, a service of Cloudflare, Inc. A small script from static.cloudflareinsights.com records which page was opened, the page you came from, the loading time, the type of browser and device, and the country. It uses no cookies, stores nothing on your device, does not recognise you across visits and builds no profiles; we only see aggregated figures. Legal basis: our legitimate interest in improving the website (Art. 6(1)(f) GDPR).

3. Sending the book and updates

When you request the book, we process your email address to send you the PDF as an attachment, together with a personal download link that works for 30 days. We use the email service of Brevo (Sendinblue SAS, 106 boulevard Haussmann, 75008 Paris, France), which acts on our behalf. The record of requests is stored in Cloudflare Workers KV, a service of Cloudflare, Inc.

Record of requests: we keep your email address, the language of the page, the date of your first and last request, the number of requests and how often your personal download link was used. This tells us who received our publication and helps us spot misuse of the form. We do not send advertising based on this record. Legal basis: for sending the book, carrying out your request (Art. 6(1)(b) GDPR); for the record, our legitimate interest in documenting the distribution and preventing misuse (Art. 6(1)(f) GDPR). Retention: the record is deleted automatically 12 months after your last request. Brevo keeps a record of the delivery for a limited period under its terms, for technical delivery and abuse prevention. When the email is sent, Brevo may record whether it was delivered, opened or whether its link was clicked.

Updates (optional): if you tick the box for updates, we send you a second email. Only after you confirm with its button do we add your address to our updates list at Brevo and write to you about new publications and releases. Without confirmation you receive no updates. Legal basis: your consent (Art. 6(1)(a) GDPR). You can withdraw it at any time with the unsubscribe link in every update or by email to info@hellenismwatch.org. Withdrawal does not affect the lawfulness of processing before it. Retention: your address stays on the list until you unsubscribe. To be able to prove your consent, we keep the time of the request and of the confirmation and the wording of the checkbox for as long as you receive updates and for up to three years after you unsubscribe.

4. Fellow applications

When you apply to become a Fellow, we process the details you provide: full name, role or position, institution or organisation, field of expertise, country of residence, email, short bio, photo and your message. The application is stored in Cloudflare Workers KV (Cloudflare, Inc.) so that we can assess it in our private admin area, and a notification with your details (without the photo) is sent via Brevo to the Hellenism Watch mailbox, which is hosted on Gmail by Google Ireland Limited (Gordon House, Barrow Street, Dublin 4, Ireland).

Purpose: to assess your application and contact you. Legal basis: steps taken at your request (Art. 6(1)(b) GDPR). Retention: if we decline the application, we delete your photo immediately and the rest of the application 12 months after the decision. Applications we have not decided on are deleted after 24 months. If we accept you, the application itself is deleted and only your Fellow profile is kept.

Fellows page: if we accept your application, your full name, role or institution, short bio and photo are shown on hellenismwatch.org/en/fellows, on the Greek Fellows page and on the home page. We only do this if you agreed to it on the form. Legal basis: your consent (Art. 6(1)(a) GDPR). You can withdraw it at any time by email to info@hellenismwatch.org; we then remove your profile. Your email address stays in our private records and is never published.

If we publish an article of yours, your full name, role or institution, short bio and photo are shown publicly with the article, based on our agreement to publish it (Art. 6(1)(b) GDPR). You can ask us at any time to correct or remove them.

5. Contact, contact form and tip line

When you write to info@hellenismwatch.org, your message is forwarded through Cloudflare Email Routing to the Hellenism Watch Gmail mailbox. We process your email address, the content of your message and any attachments.

If you use the contact form on the Legal notice page, your full name, email and message are sent via Brevo to the same Gmail mailbox.

Purpose: to reply to you and, for information you send us, to check and assess it before any publication. Legal basis: legitimate interest in replying and in informing the public on the basis of evidence (Art. 6(1)(f) GDPR). Processing for journalistic purposes is subject to the special rules of Art. 85 GDPR. Retention: as long as needed to handle your message or verify the information.

Please do not send sensitive data, such as health information or religious or political beliefs, about yourself or others unless it is essential to the information. If you wish to remain anonymous, please say so in your message.

6. Transfers outside the EU

Cloudflare, Inc. and Google may also process data in the United States. Both companies are certified under the EU-US Data Privacy Framework, for which the European Commission has adopted an adequacy decision (Implementing Decision (EU) 2023/1795). Brevo processes data in the EU.

7. Your rights

Under the GDPR you have the right to:

• withdraw your consent at any time, with effect for the future (Art. 7(3)),
• access your data (Art. 15),
• rectification (Art. 16),
• erasure (Art. 17),
• restriction of processing (Art. 18),
• data portability (Art. 20),
• object to processing based on legitimate interest (Art. 21).

To exercise any of these rights, write to us at info@hellenismwatch.org. We reply within one month.

8. Right to lodge a complaint

You have the right to lodge a complaint with a data protection authority. The authority responsible for us is:

9. Other information

Providing data is voluntary. Without an email address we cannot send you the book or reply to your application or message. We do not make automated decisions or build profiles.
