This page explains which personal data we process when you visit hellenismwatch.org, request the book, apply to become a Fellow or write to us. The EU General Data Protection Regulation (EU) 2016/679 (GDPR) applies.

1. Controller

Hellenism Watch is a personal, non-profit initiative in the process of being established as a non-profit civil company (AMKE) in Greece. Until then, the private individual named above is the controller. We are not required to appoint a Data Protection Officer.

2. Visiting the website

The website is hosted on Cloudflare Pages, a service of Cloudflare, Inc. (101 Townsend St, San Francisco, CA 94107, USA). When you open a page, Cloudflare's servers process technical data that your browser sends automatically:

• your IP address,
• the date and time of access,
• the page or file requested,
• your browser and operating system.

Purpose: to deliver the website and protect it against attacks and misuse. Legal basis: legitimate interest (Art. 6(1)(f) GDPR) in operating the website securely and reliably. Retention: only as long as needed for security and technical operation. We do not use this data to identify you or build profiles.

Cookies and analytics: this website uses no cookies, analytics or advertising tools. Fonts are served from our own server, without connecting to third-party services.

3. Sending the book

When you request the book, we process your email address to send you the PDF. We use the email service of Brevo (Sendinblue SAS, 106 boulevard Haussmann, 75008 Paris, France), which acts on our behalf.

Legal basis: carrying out your request (Art. 6(1)(b) GDPR). Retention: we do not add your email address to a mailing list and we do not send you newsletters. Brevo keeps a record of the delivery for a limited period under its terms, for technical delivery and abuse prevention. When the email is sent, Brevo may record whether it was delivered, opened or whether its link was clicked.

4. Fellow applications

When you apply to become a Fellow, we process the details you provide: full name, institution or organisation, field of expertise, country of residence, email and your message. The application is sent via Brevo to the Hellenism Watch mailbox, which is hosted on Gmail by Google Ireland Limited (Gordon House, Barrow Street, Dublin 4, Ireland).

Purpose: to assess your application and contact you. Legal basis: steps taken at your request (Art. 6(1)(b) GDPR). Retention: we delete the application 12 months after the assessment is completed, unless we start working together.

5. Contact, contact form and tip line

When you write to [email protected], your message is forwarded through Cloudflare Email Routing to the Hellenism Watch Gmail mailbox. We process your email address, the content of your message and any attachments.

If you use the contact form on the Legal notice page, your full name, email and message are sent via Brevo to the same Gmail mailbox.

Purpose: to reply to you and, for information you send us, to check and assess it before any publication. Legal basis: legitimate interest in replying and in informing the public on the basis of evidence (Art. 6(1)(f) GDPR). Processing for journalistic purposes is subject to the special rules of Art. 85 GDPR. Retention: as long as needed to handle your message or verify the information.

Please do not send sensitive data, such as health information or religious or political beliefs, about yourself or others unless it is essential to the information. If you wish to remain anonymous, please say so in your message.

6. Transfers outside the EU

Cloudflare, Inc. and Google may also process data in the United States. Both companies are certified under the EU-US Data Privacy Framework, for which the European Commission has adopted an adequacy decision (Implementing Decision (EU) 2023/1795). Brevo processes data in the EU.

7. Your rights

Under the GDPR you have the right to:

• access your data (Art. 15),
• rectification (Art. 16),
• erasure (Art. 17),
• restriction of processing (Art. 18),
• data portability (Art. 20),
• object to processing based on legitimate interest (Art. 21).

To exercise any of these rights, write to us at [email protected]. We reply within one month.

8. Right to lodge a complaint

You have the right to lodge a complaint with a data protection authority. The authority responsible for us is:

9. Other information

Providing data is voluntary. Without an email address we cannot send you the book or reply to your application or message. We do not make automated decisions or build profiles.
